Baldwin County EMC Replaces Paper Membership Files by Converting to Electronic Media

DAYTON, Ohio (August 2, 2002): Document Imaging Solutions, Inc. (DIS), a full-service systems integration company has provided a customized solution to initially provide automated document scanning, document management, electronic storage and a viewing solution for the Baldwin County EMC (Baldwin), the largest electric cooperative in the State of Alabama.

The system will be used to initially convert over 40,000-member account files that currently occupy over 50-three drawer file cabinets. Alan Schott, VP of Finance and Accounting for Baldwin said, “We were running out of physical space to store paper documents and had to make a decision to either expand our storage facilities or take a new approach to the problem.” Baldwin decided to explore digitizing the member account files to reduce the space requirement and to make the information more accessible to the users and Branch Offices.

Baldwin issued Requests for Proposals from recommended companies that supply systems for converting large paper files to electronic media. After evaluating the responses, Baldwin selected DIS as the best company that could supply a solution to meet Baldwin’s requirements now and in the future.

“Benefits derived from digitizing the paper files will be significant,” said Alan Schott. “Other than the storage efficiencies, departmental users will be able to quickly locate and view all of the documentation related to a member account or event. Accessibility to key information will be timelier and efficiency greatly improved.”

Eventually, in addition to the membership files, easement documentation, including engineering drawings, and work orders, insurance claims, disconnect and new service notices will be digitized for easier access by the users. Workflow systems also provided by the will be evaluated after the conversion is complete to provide automation for various processes such as engineering changes and claim processing.
